Are you someone who has:

  • Undergraduate level degree preferred with internship or 1-3 years of professional experience in a related discipline.
  • Excellent communication skills.
  • Strong analytical and computer (Outlook, Excel, Word, PowerPoint) skills.
  • Reliable, rigorous, detail-oriented, proactive, team player, self-starter, punctual, commercially minded, receptive to change.

Activities

  • Review and validate payable invoices in the enterprise management system (Medissys) on a timely basis to optimize cash flow and adhering to contractual terms.
  • Liaise with suppliers to correct any invoice discrepancies within the timeline of contractual due dates
  • Maintain electronic filing system for the respective area of responsibility.
  • Track supplier performance against contracts
  • Serve in a back-up capacity for other Trading Operators Assistants who are on vacation or during scheduled absences
  • Assist the accounting department when necessary in the reconciliation of accounts and the recovery of funds from counterparties.
  • When needed, help keep the team organized by assisting in general administrative duties.
  • Assist the Manager on an "as needed" basis on special projects and audit work.

Context & Environment

Fast paced, dynamic, and demanding trading environment requiring the jobholder to be able to work both autonomously and within a team. Reconciliation of discrepancies and resolution of counterpart issues requires jobholder to be able to seek out information necessary for problem solving. Must be able to take initiative and work with limited supervision.

Accountabilities:

Meet all deadlines and perform duties in a timely and accurate manner. Effectively communicate with numerous internal and external counterparties. Be a team player.

Job Dimensions:

The jobholder is the main contact with suppliers for the verification and processing of invoices for the Total Group's domestic and international trading activity in North America, South America and the Caribbean. Liaise with suppliers to ensure that invoices are submitted and processed in accordance with contractual terms. Ensure completeness, accuracy, proper approval, and documentation adhering to internal controls of the company.
