Candidate Profile

• Minimum Business, Economics, Mathematics or Engineering degree or equivalent.

• Minimum 5 to 10 years' experience in a Commercial/Marketing/Business direct or indirect management

• Must be articulate, analytical, customer oriented, self-motivated, a team leader and able to work without supervision

Activities

GT and Mines Activities

• Assisting Key Accounts Managers' (KAM) in the deployment and assessment of the B2B profitability and margin tracking tools e.g. PNL and KE24, KE30, FBL3N/5N, MB52, Salsa, VIVA Goals, B2B Dashboard.

• Share statements of accounts & handle queries regarding statements - Trading with customers & TMs (daily) including prospects.

• Proposing & coordinating actions for improving the profitability of all the customers by working with KAM's and GT, Mines.

• Analyse, track and share weekly sales and ugmve - white products, per customer, per channel, per geographic region

• Maintenance and regular update of the B2B Master Data Files including contracts and Due Diligence Registers.

• Monitoring and reporting B2B competitor price surveys weekly

• Assisting with analysing B2B Customer Satisfaction scores and tracking key red flags.

• Monthly reports consolidation for B2B master data updating and B2B dashboard.

• Preparation of accounts for submission & review - due diligence, CD2, Journals, DMA forms (with coordination of the KAM), credit notes, debit notes etc.
  • Liaise with Customer Service, Depots, and customers to support timely ordering, planning and delivery of product.
  • Maintain a proper (filling& scanning) record keeping system for the section with a focus on agreements, letters, departmental monthly meeting minutes, deal sheets, Aviation Contracts, contract registers, route surveys and any documents that may be deemed necessary from time to time.

• Track and regularize invoicing anomalies through relevant, journals, debit and credit notes.

• Track and report weekly on follow up B2B customer closure status, with the relevant supporting closure evidence/documents thru Salsa and excel file.

• Report weekly on credit control resolution implementation.

• Represent the B2B team in weekly Supply Sales meeting

• Analyze and explain monthly detailed reporting results by customer and track variable costs and fixed costs allocation and MAMBO margin variance between the SAP reporting modules.

• Provide secretarial role for departmental monthly meetings - scheduling, minute taking, minute signing and minute filing.

• Any other duties as directed by the hierarchy

Aviation
  • Ensure profitability of the aviation activity and monitor monthly delivery of variable expenses vs budget and trend of the same and ugmvc.
  • Ensurre timely response to all Aviation tenders for validation and approval thru the hierachy
  • Facilitate and ensure all TEA and other aviation customers are serviced satisfactorily in Zimbabwe
  • Manage Air Zimbabwe account on supply and payments and ensure strict adherence to agreed supply terms
  • Ensure monthly reconciliation of HAFS Stocks against SAP and Avidial
  • Oversee timely and accurate invoicing of all uplifts on working D+2 after receipt of the TEA price book
  • Supervise the issuance of Proforma invoices to aviation customers
  • Ensure that TEA transactions are promptly invoiced using AVIDIAL
  • Ensure TEA account is up to date i.e. invoicing, payments , reconcilled against TEA ledger and matching
  • Pay regular visits to both local and TEA local customers
  • Source for new business to grow the local portfolio of aviation customers.
  • Salsa - Log customer information, weekly reporting and visit reports in Salsa.
  • Competitive Intelligence - Monitor and report competitor activities (price watch, new developments, changes,
  • Complete daily aviation reports, ensure aviviation orders are processed on time, track invoicing and circulate accordingly.
  • Follow up alternative refuelling opportunities within other locations within the country
  • Any other duties as directed by the hierachy

Context & Environment

• Position involves working closely with internal and external stakeholders in keeping the department fluid.

• Position involves back office support for the B2B GT, Mines and Aviation functions . This is a high-pressure environment that is dynamic and involves reconciliations on accounts, timely reporting and risk escalation.

• Position involves ensuring timely execution of billing on payables, receivables, credit & debit notes as well as adjustment journals.

• Position involves working closely with KAM, Finance team in debtors and creditors sections and reporting sections
  • Position involves working closely with internal & external stakeholders to improve performance & and analyze in detail reporting results

• HSEQ and Integrity performance at the office and in-service stations. Timely reporting of anomalies and incidents.

• Accounts: - timely & correct execution in creation, billing and amendments (rentals receivable, payable, credit & debit notes).

• Reporting: - timely consolidating and analysing periodic reports and results submitted by KAMs, Reporting Manager or independently of the activities to assist Management with decision making.

• Analysis & Tracking - sales performance, results, variable cost allocation of all B2B products and channels.
