About the job:

A Document Controller is a professional responsible for managing and organizing documents within an organization. The role is crucial for ensuring that information is handled efficiently, accurately, and in compliance with relevant standards and regulations.

We are recruiting engineering and project professionals for various roles for a Project Management Consultant (PMC) team to be engaged in projects across Europe but based in Munich.

Key Responsibilities:

• Access web-based system or similar, to upload and retrieve documentation.

• Ensure compliance with document management standards and procedures including adherence to contractual document numbering practices and electronic repository structure.

• Input daily project information into the computer system.

• Responsible for the following DCC functions: Document Control, Vendor Document Control, Record management, Library & Archive and Construction / Site Office Document Control.

• Ensure deliverables submission in a timely manner.

• Resolve issues within the DCC or bring to the attention of the Information Management Manager and Project Services Manager.

• Perform related duties as and when required.

• Creating and maintaining a system for organizing and storing documents.

• Classifying, categorizing, and indexing documents for easy retrieval.

• Implementing and enforcing document control procedures and policies.

• Overseeing the creation, review, approval, distribution, and revision of documents.

• Ensuring that documents are accurate, complete, and adhere to the organization's standards.

• Managing version control to track changes and updates to documents.

• Ensuring that the latest versions of documents are available to relevant stakeholders.

• Controlling access to sensitive or confidential documents to maintain security and compliance.

• Setting permissions for document viewing, editing, and distribution.

• Conducting regular audits to ensure that document control processes are being followed.

• Monitoring and reporting on the status of documents and document-related activities.

Your knowledge/skills, education, and experience:

• Capable of performing duties with no direct supervision and within agreed schedules.

• Understands the project deliverables, milestones and required tasks and targets through the project progress measurement system.

• Capable of using initiative, knowledge and experience to recognise, highlight opportunities and threats as and when they emerge.

• Experience with cost control, ideally within EPC or EPCM projects and familiarity with the lifecycle of EPC and EPCM projects, desirable.

• Experience collaborating with multidisciplinary teams.

• Strong written and oral communication skills, excellent interpersonal skills.

• Excellent written and verbal communication skills.

• Team Player.

• Attention to detail, ensuring early detection of potential project issues.

• Aptitude to troubleshoot and resolve issues that arise during the project lifecycle.
