Location: Calgary, AB
Schedule: M-F (40 hrs/week)
Job Type: Hybrid (4x1)
Contract length: 12 months.
Anticipated Start date: No later than May 5th, 2024.

About the Role:
Our client is searching for a highly organized and fiscally responsible Logistics Assistant to join the team.  This position will report to the Senior Assistant, LNG New Ventures Business Unit, part of our client’s Corporate Development Division.
You will provide both travel coordination support and general administrative support to the Senior Assistant, LNG New Ventures, and the Project Team. 

General Areas of Responsibility
  • Support client’s safety culture.
  • Travel Coordination for Project Team, working with an international team, plan itineraries, manage booking and reservations for flights, hotels, car rentals and provide expertise to travel related inquiries.
  • Research and stay up to date with travel trends, destination information, and visa/passport requirements, travel regulations, health advisories, travel insurance and safety precautions.
  • Ensure travel spend is within budget; produce reports and statistical data as required.
  • Reconcile Visa and expense statements.
  • Assist with event planning.
  • Project Team calendar management.
  • Back-up for Senior Assistant, LNG New Ventures when away.
  • General administrative duties as required; and
  • Participate and support an equitable, diverse, and inclusive workplace.

Qualifications
  • Post- secondary administrative assistant and/or travel assistant diploma or equivalent.
  • A minimum of 5 years’ experience in travel industry and/or office administration role.
  • Strong attention to detail and organizational skills.
  • Focus on execution and results.
  • Highly creative individual who will provide excellent service while meeting fixed budgets.
  • Exceptional written and verbal communication skills, which includes the ability to prepare reports, format documents, and draft official letters and correspondence.
  • A positive, high energy, team approach combined with a can-do attitude.
  • Ability to work well in a fast paced, dynamic environment often under pressure and adapt to changes in travel plans.
  • Willingness and ability to work off hours if required to meet the demand of an international work force.
  • Ability to work within a deadline-oriented team environment, to prioritize work, and to work independently.
  • Demonstrate critical thinking with proven ability to analyze processes and problems and present solutions.
  • Proficiency in MS Office applications (Outlook, Word, Excel, and Power Point); and MS SharePoint an asset.
