Admin Assistant

We are searching for an Admin Assistant for our client who is in the oil and gas industry. This position has a 6 months contract with a possibility to extend and located in Delft.

Key responsibilities: 
The Project Support / Coordinator is responsible for the following,
• Ensure a smooth office environment for all members of the project
• Focal point of the project, including third parties of the project, and acts as a host or hostess where needed
• Support by handling a wide variety of administrative, financial and managerial tasks
• Responsible for the onboarding process of new hires, including updating the process where improvements can be made after receiving feedback
• Responsible for checking and chasing time writing by the project members and collecting the input for the monthly billing of the Radiant project.
• Facilitate project knowledge sharing sessions and presentations
• Make arrangements for in-house and off site meetings, events, workshops and trainings
• Assist the Project Manager in collecting input for the month-end and year-end reports, processes and presentations.
• Responsible for various project communications, the maintenance of the project database (SharePoint) and availability of documentation to operations personnel
• You are responsible for time management of the project resources and the monthly billing
• Assist the Hiring Managers in the recruitment process of new employees / contractors
• Identify and address improvement opportunities within the project and contribute to the effort of implementing and anchoring improvements, in alignment with the Project Manager
• Assist Project Manager and Skill Pool Manager in project’s floor space management and team seating. Align with and provide input to the Office Manager
• Act as a back-up of the Office Manager and receptionist on part-time days and during absence.
• Flexibility required, provide support in administrative activities where needed

Requirements:
• You have a College Degree or equivalent
• General business/secretarial work experience
• Excellent written and verbal communication skills, in Dutch and English
• You are able to work in a team-oriented environment with minimal supervision
• You can multitask and are able to work well with stringent deadlines and highly confidential information
• You are self-motivated and proactive
• Strong organizational and analytical skills
• Good interpersonal and relationship-building skills
• Working knowledge in MS Word, Excel and PowerPoint
