Element has an opportunity for a part time Support Services Assistant to join our growing team based in Warrington, working 27.5 hours per week. This is a great opportunity to develop your career within a Global TIC business.



Responsibilities

  • Invoicing process through to shared services for FR/RTF/Certification/FE:
    • Setting up of new accounts
    • Accurate and complete invoices
    • Evidence of invoices issued
    • Checked against monthly department sales sheets
    • Issuing credits – ensure appropriate authorization
  • Accurate and timely completion of weekly and monthly exports to deadlines
  • Report collation including formatting, T&C’s etc and dispatch to client for FR/RTF/Certification/FE
  • Monitor and ensure adherence with SLA requirements
  • Indexing of divisional job files / scanning – accurate and complete storage of documentation
  • Translation of documents where necessary
  • Twice daily collection / delivery of reports / post etc from FR / RTF departments / 7 drawer draw process
  • All additional work associated with each Department consisting of but not exhaustive: DC1 forms, annual fees, dispatching labels, credit notes, queries
  • Ensuring all notice boards are kept up to date
  • Completion of tasks within various inboxes as instructed by Supervisor ie Technical, Support Services
  • Receptionist duties Including: operating switchboard, visitor experience, H&S Inductions, emergency roll call, management of meeting rooms, organising catering for meetings, dealing with / distribution of post incoming and outgoing, arranging couriers, booking of taxis, management of Reception Support inbox , maintaining switchboard personnel contact details, maintaining and updating spreadsheets
  • Using Fireman and other Element systems effectively to ensure maximum efficiency, provide support to visitors, employees and departments
  • Ad Hoc Administrative support / projects as requested by Site Support Services Manager to assist with the smooth running of the department and to ensure all departmental SLAs/deadlines are met ie all additional work associated with each Department consisting of but not exhaustive: dispatching labels, credit notes, queries
  • Any other administrative tasks given by Support Services Co-ordinator
  • Stationery – ensuring all sites have adequate required stocks for standard stationery items, monitoring of requested orders to ensure cost efficiency
  • PPE coordination / order for each department – ad hoc requests / workwear
  • Using Synergist, CRM, Fireman and other Element systems effectively to ensure maximum efficiency,
    provide support to visitors, employees and departments
  • Ad Hoc Administrative support / projects as requested by Senior Support Services Assistants to assist with the smooth running of the department and to ensure all departmental SLAs/deadlines are met ie all additional work associated with each Department consisting of but not exhaustive: DC1 forms, annual fees, dispatching labels, credit notes, queries
  • Any other administrative tasks given by Team Leader


Skills / Qualifications

  • Good standard of English & Maths
  • Computer Skills - MS Word / Excel / Office
  • Previous office administration experience beneficial
  • Customer service skills
  • Experience working in a busy environment
