About this role: Technical Assistant

  • Acting as the point of contact among executives, employees, clients and other external partners;
  • Responsible for creating and maintaining a harmonious working environment;
  • Focuses on the maintenance of all personnel and administrative systems;
  • Support Project Control and Services team in human resource management by forecasting the organization's needs and continuously monitoring and adjusting all systems;
  • With a primary responsibility of supporting the Engineering &Construction Manager, provide support to the executive team as directed to ensure that division goals and objectives are accomplished, and operations run efficiently;
  • Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.

Executive Support

  • Promote and comply with the applicable safety instruction and Company HSE procedures in all activities;
  • Carry out work in compliance with the Company values and policies, relevant laws and regulations, agreed Company priorities and objectives, Company standards and procedures and good industry practices;
  • Treat all information obtained during the course of the work with confidentiality;
  • Manage professional scheduling for Engineering and Construction Manager, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics;
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives;

    Personnel management:

  • Manage, coordinate, and arrange department’s travel and travel-related activities, including hotel booking, transportation, and meal coordination;
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database;
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business;
  • Organize team communications and plan events, both internally and offsite;
  • Personnel Leave Management;
  • Manage onboarding of new joiners and offboarding of departing employees. Main Master List records;
  • Book and follow contractor's newcomer onboarding process including:
    • Incident Free training with NOC training Dept/HR;
    • PPE request;
    • IS request (User Access, Software/Hardware arrangements);
  • Handle Employee expense claims;
  • Request and follow up E&C contractor the resources assignment to fulfill manning plan provided by Construction coordinator;
  • Confirm with contractor all assigned resources have their certificates up to date;
  • Ensure proper communication with contractor to ensure timely mobilization of personnel;
  • Manage onshore training assignment for offshore personnel (TRF, communication with their relative company for hotel booking, transportation);
  • Office/desks arrangement for E&C employees;
  • Coordinate and follow up all General Services requests for E&C;
  • E&C Intranet page publications / updates;

    Document Management:

  • Input, or make sure that all technical documents are entered into MANASA data base and follow them up and when needed review the workflow;
  • Control and expedite regularly overdue documents or comments;
  • Carry out the distribution of all technical documents;
  • Prepare Adhoc reports, as and when requested.

What you need to bring:

  • Professional Experience (number of years): 10;
  • Experience within Project: (number of years): 5;
  • Multi skilled competencies;
  • Co-ordinated approach to resolving problems in a timely manner;
  • Working knowledge of document & data control;
  • Fluent in English;
  • Good interpersonal and communication skills;
  • Strong time-management skills and the ability to organize and coordinate multiple tasks simultaneously;
  • Ability to work under pressure with minimal supervision;
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge;
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.

    • Day Rate in USD Plus Allowance
  • Work Schedule:
    • 9 Hours / 6 Days
  • Duration:
    • 31-Dec-2025 with possible extension
