Airswift are partnered with an Energy provider and have a role of Procurement Specialist / Buyer to work on 12 months contract assignment in Perth, WA.
Major Activity:
- Management of RFQ and tender evaluation process.
- Placement of purchase orders (POs) for materials and equipment in time.
- Interaction with internal SMEs including package engineers, quality and material management.
- Expedite delivery of ordered materials and equipment.
- Management of changes.
- Lead communications/negotiations with contractors/vendors.
- Manage necessary approval process.
- Achieve cost savings through the contract management process.
- Conduct all activities in a safe and efficient manner in accordance with the company’s policies and procedures. At all times, ensure the welfare of personnel and protection of assets & environment.
- Manage RFQ stage including RFQ preparation, issue, receipt, opening and assessment of tenders and approval process.
- Negotiate with Contractor on all matters relating to terms and conditions, improved pricing of quotes received and delivery options that may be more economic and timelier.
- Ensure progress of orders are monitored and regularly reported to Contracts Manager to identify potential future variations.
- Ensure commercial and contractual correspondence with Contractor is efficiently handled.
- Ensure changes to PO conditions/scope of work are managed in accordance with Company procedures.
- Manage necessary approval process for changes.
- Develop documents for internal and external approval process (tender evaluation pack).
- Monitor vendor performance and maintain positive vendor relationships.
- Expedite the delivery of purchased items and ensure their compliance with the required specifications and delivery date.
- Ensure market trend investigation and benchmark activity within the industry is efficiently performed.
- Ensure that full audit trail is maintained for all procurement transactions.
- Manage contract documents in the system.
- Ensure confidentiality of contract documents is maintained.
- Manage bank guarantee, parent company guarantee and other contractual deeds where required.
- Coordinate on contractual, commercial, invoicing/payment, taxation/duties, AIP, insurance, IR, insurance, HSES and legal issues with relevant internal stakeholders.
- Administration of legal issues.
- Provide procurement advice to the colleagues within the team as well as the relevant non-Contracts & Procurement personnel
- Contribute to other project controls functions (i.e., Cost control, planning, document control etc.).
- Contribute to PO close-out.
- 10+ years of experience of procurement , preferably in Oil & Gas business
- Thorough understanding of sourcing and procurement processes
- Strong capability in cost and time effective sourcing to procure goods from competitive suppliers
- Robust experience in contract formulation activities, inventory and materials management, supply systems and processes.
- Superior SAP skills (MM module – minimum 5 years) and an awareness of functions of the AP and PM Modules)
- Excellent communication/negotiation skills
- Excellent written skills
- Ability to multi-task
