We are currently looking for a Field Administrator/Sr. Field Administrator/Field Administrative Coordinator for our Ringgold, LA office.


In this role, you will perform administrative duties including, but not limited to, sending & receiving email, answering phones, copying, faxing, scanning, shipping and mailing, maintaining meeting rooms, maintaining offices supplies and equipment and maintaining sign-in sheets, maintaining business unit scorecard tracking, DOT driver recordkeeping, EH&S recordkeeping, invoice processing, maintaining Interconnect Agreement and project files, payroll and input of accounts into ORACLE, tracking of vehicle inspections and insurance, printing forecast reports and data review from OMS software systems.

Additional responsibilities include p-card review and coordination, audit tracking, organizing and tracking of Alignment Sheets, DOT record keeping, emergency information notifications, Event Response Manual updates, hazardous materials shipping, local incident tracking, and intermediate use of Maximo OMS software system (attaching records, printing reports, light analysis, verifying records are accurate, etc.)

You also must comply with all required safety and environmental training and have a good understanding of applicable company policies and procedures.

This position interacts with every department in the corporate offices and other field locations, producers, customers, landowners, governmental agencies and contractors/vendors.

Administrative duties including but not limited to:

*Assisting with creating and monitoring the area operating budget

*Invoice coding and submitting to Accounting

*Maintaining inventory of materials and supplies

*Assisting the Area Manager and area personnel in support of the area operations

*Requisitioning and tracking, shipping and receiving materials and supplies

*Compliance tracking and auditing (OMS, Veriforce, other monthly type inspections including mileage, fire *extinguishers, etc.

*Maintaining office machinery and office supplies

*Developing project folders and status tracking

*Become familiar with accounting codes, purchasing program and preparing requisitions, inventory, and setting up projects online

*Assisting with Scope of Work Agreements and Veriforce OQ documentation for activities

*Facilitating and preparing project completion reports

*Office and meeting area cleaning

*Organizing meetings as necessary and preparing meeting room presentations and other needs

*Organizing filing system and tracking and auditing compliance activities


*Advanced computer skills and experience with Microsoft Office products including Excel, Word, PowerPoint, Outlook and other computer operating systems

*Advanced typing skills

*Excellent interpersonal skills

*Strong written and verbal communication skills, economic and critical thinking skills

*Ability to learn computer-based systems for project preparation, requisitions, project and compliance tracking, etc.

*Self-motivated and have a strong commitment to personal and team safety

*Ability to prioritize and manage multiple responsibilities simultaneously

*High school diploma or equivalent

*Valid driver’s license with a good driving record


*Advanced experience with ORACLE accounting systems

*Associate’s degree in a related field

*Advanced working knowledge of IBM’s OMS (Operating Management System)
