FIRA International, part of the Element Group, has an opportunity for an Administration Supervisor to join our Support Services team based in Stevenage. This is a great opportunity to develop you career within a Global TIC business.


  • Be the sites point of contact for the Site Support Services Manager
  • Plan, supervise and undertake (if required) the team to deliver key tasks, including:
  • Answer and direct incoming communications
  • Greet visitors to site and deliver the H&S Visitor Induction
  • Ensure all documentation is processed and stored expediently
  • Event coordination and attendance
  • Receive, prepare and distribute incoming and outgoing mail/packages
  • Raise and GRN PO’s
  • Processing invoices and credit notes
  • Purchase stationery items and office equipment/consumables
  • Coordinate site services and liaise with external contractors to ensure delivery
  • Promote membership of the Associations' and other services offered by FIRA International
  • Proactively maintain all areas of the daily running of the Membership and voucher credit system
  • Assist / coordinate ad-hoc administration support to the Consultancy department, including:
  • Council pack collation and distribution
  • Taking meeting minutes
  • Assisting in Association yearly audit
  • Assisting Association Secretary and Chairman
  • Production of reports, including:
  • Monthly Support Services Report
  • Monthly Membership Movements Report
  • Monthly Site Report
  • Financial reports as requiredo
  • Conduct appraisals/target setting and monitoring
  • Annual leave, time off, etc. approvals and monitoring
  • Sickness monitoring, reporting and actions such as RTW and noted meetings
  • Mentoring and training

Skills / Qualifications

  • Experience within a similar role is required
  • Strong general administration and organisational skills working to a high level of accuracy
  • Self-management – scheduled and unscheduled tasks with the ability to plan department workload and daily functions
  • Ability to be empathetic with strong communication skills, both written and oral
  • Ability to engage with customers and colleagues in a polite and professional manner
  • Proficient in Microsoft, Word, Excel & Outlook, with the ability to learn bespoke software as required
