Job Description
The PA Officer - International Conferences and Exhibitions ICE will coordinate with the Head of International Conferences and Exhibitions in the strategic planning development and implementation of all companys international conferences and exhibitions. S/he is accountable for team deadlines deliverables and key event responsibilities. Emphasis on developing both the company and State of Qatars reputation internationally.
Key Result Areas:
Departmental alignment with corporate business plan and marketing objectives.
In line with companys corporate vision and strategic choices analyzing the short and long-term needs of the company with regard to international conferences and exhibitions and developing a strategic plan to meet those needs and enhance companys reputation within the energy sector.
Developing and leading a culture of continuous improvement within the Section through the setting of conference and exhibition post-event surveys and lessons learned meetings.
Working with Head of International Conferences and Exhibitions Companys Management and Marketing Group during formal and informal confidential LNG customer meetings.
Development recommendations and implementation of companys conference and exhibition delegates lists. Ensuring the highest standards of travel and accommodation for all delegates. Coordination on VVIP and VIP attendance and protocol at companys conferences and exhibitions. Managing the call for submission and approval of conference papers in line with corporate objectives. Liaison with ExxonMobil legal and corporate planning departments to ensure corporate compliance.
Performs works required as part of the companys International Conferences and Exhibitions initiatives including setting and arranging appointments and meetings project planning project filing project invoices and time management of assignments.
Responding to enquiries received and communicating with Head of International Conferences and Exhibitions
Building relationships negotiating and managing contracts with new and existing local and international consultants suppliers and vendors as directed by the Public Affairs Manager and Head of International Conferences and Exhibitions performing services for the International Conferences and Exhibitions Section.
Developing recommendations on corporate gift items and suppliers for international conferences and exhibitions to meet both event gift needs and budget requirements.
Attending internal and external meetings conferences and forums on behalf of the Public Affairs Manager.
Assistance of preparation of tender documents in compliance with Companys Corporate Procurement Manual regulations for International Conferences and Exhibitions Section projects including major international conferences and project inaugurations.
Member of the Level 3 Crisis Management team. Member of the Companys Exhibitions and Conference committee. Works in a fairly well structured environment where guidelines are clear but procedures are continuing to develop. Needs to work effectively in a complex multi-national multi-cultural environment.
Due to the nature of Public Affairs projects some out of hours work and international travel may be required.
Knowledge Skills and Experience
Bachelor Degree in communications marketing business or other related field from a recognised university. At least 7-10 years of progressively responsible work experience in communications field.At least three years work experience in a multi-national multi-cultural environment. Experience related to the oil and gas industry preferred. Experience working in the Arabian Gulf with an understanding of its culture and work practices. Strong strategic planning and analysis skills. Commitment to companys internal controls systems including RGEE Seventh Sense and new programmes when implemented Excellent communications and interpersonal skills and the ability to work well with others. Strong management skills with experience managing and mentoring staff. Experience developing work plans and budgets. Thorough understanding of Public Affairs concepts and practices. Highly organised and efficient.Ability to manage multiple tasks at once and meet deadlines without sacrificing attention to detail. Able to convey a strong professional image and exhibit a positive attitude. High level of personal integrity. Advanced PC software operating skills including Word PowerPoint Excel and others. Exceptional written and spoken English language skills native English speaker preferred. Arabic language an advantage.
