Currently seeking an Executive Assistant-Contractor for an oil & gas operator located in Houston, TX. Only candidates with operator experience will be considered.
ACCOUNTABILITIES
The Executive Assistant will support the CIO/VP, Information Management executing administrative duties, such as, compiling and distributing documents, coordinating meetings and conferences, maintaining calendars, arranging domestic and international travel.
ROLES AND RESPONSIBILITIES
· Produce high quality documents, presentations, organization and charts
· Assist in development of management presentations
· Perform document management activities for the team
· Administrative duties such as copying, filing, faxing and distributing mail
· Receive and route incoming phone calls
· Create and maintain up to date contact lists
· Assist with correspondence and maintain associated correspondence logs
· Process requisitions and service entry sheets in SAP
· Submit for processing and follow up on all IT and Documentum requests
· Maintain calendars and training schedules
· Organize and coordinate functions, such as conferences, luncheons, and meetings
· Enter TimeWrite hours for the team,
· Expense reports creation and reconciliation of AMEX and VISA card transactions
· Coordinate compilation of weekly report
· Arrange domestic and international travel and; if needed, visas
· Maintain and order department office supplies
· Adhere to HSEC Policy and Management Standards
· Manage confidential information
EXPERIENCE AND QUALIFICATIONS
· Minimum of eight (8) years administrative experience
· Strong demonstrated proficiency in SAP, Documentum, MS Office Suite, including Word, PowerPoint and Excel and ability to create PDF files from native format files required
· Strong oral and written communication and interpersonal skills
· Document Management experience
· Ability to work well in a team environment
· Work under heavy time constraints
· Initiative and creativeness
· Ability to prioritize work with a minimum of supervision
· Self-starter, able to plan and use time to maximum benefit
· Decision making ability and good organizational skills are required as this position will be responsible for decisions regarding day-to-day activities
